The Premises department is a part of the Transformation team at **MEMBERS ONLY**SIGN UP NOW***.. It is responsible for providing all Real Estate, Facilities, Corporate Services and Travel operations support and strategic initiatives in the Americas. The Space Planner role will be part of the Workplace Strategy, Planning and Projects team. The role will provide valuable input for the Premises department’s space management and planning initiatives in creating spaces that support the bank’s evolving workforce requirements.
Support Premises team to make decisions based upon relevant business metrics and space planning:
Ability to visualize data and convert to space planning scenario
Working with Business Managers and others to update Space Forecasts
Governance and management of Occupancy Reporting and headcount forecast
Coordination and preparation of various Project and COO Update
Preparation and analysis of the monthly COO Dashboard Report.
Develop, calculate and manage KPI’s with benchmarks
Ensure metrics and data for decision making is consistent and implement controls/reconciliations on accuracy
Manage data integrity and reporting in Archibus
Transversal projects and process:
Identify ways to make processes more efficient and taking initiative to implement them
Attend project meetings, prepare meeting notes as required.
Produce project reports; request, collect, analyze, query, verify consistency and completeness and integrate weekly status reports from project work streams.
Collect project documentation and ensure proper archiving in available project management information systems
Reporting & Data Analysis:
Maintain the integrity of the data in Archibus system related to occupancy, space utilization, allocation, space efficiency and vacancy.
Responsible for accuracy and reporting of department data which includes: occupancy models, stacking plans, seating requirements and space databases.
Develop KAIs (about Occupancy Planning, issues, controls, etc) and business cases to support decision and anticipate trends and futures changes
Minimum Required Qualifications:
Advanced knowledge of MS Excel and Powerpoint
Strong verbal and written communication skills.
Excellent analytical ability
Energetic, flexible and self-motivated team player with strong organizational skills.
Attention to details.
High facility to quickly adapt to new situations and ability to work with remotely located resources.
Willingness to learn new systems, concepts and broaden knowledge in the industry.
Very strong work ethic and ability to deal with confidential information.
Experience with a multicultural environment.
1 - 3 years’ experience in either a project management or management reporting for a company with a global footprint in a multicultural environment.
Advanced technical skills particularly working with spreadsheets and databases is a plus.
Undergraduate degree in Architecture, Finance, Business or related discipline coupled with excellent academic credentials.
Understanding of project management methodology through work experience or education.
Proficiency in Microsoft Office (Word, Excel, Powerpoint)
